An invoice starts as a draft. Saving it does not assign a number, send an email or charge your client.

Prepare the draft

Open Invoices in your dashboard, then select New invoice. Add the client's name and email, describe the work, and enter quantities and prices. Check currency, tax, due date and notes before saving.

Choose the payment mode that fits the work:

  • Collect through Trankets gives the client an online payment route. Your account must meet the payment and payout requirements. Review who pays the processing fee.
  • Invoice only creates a bill for payment outside Trankets. It does not collect money into your Trankets wallet. Record the payment only after you receive it.

Select Save draft. You can return and edit it before issuing, even if business setup is unfinished.

Complete business details

Open the business-details section above the draft. Add the legal or trading name and billing address your client should see. Choose the country by name. A reply-to email helps the client contact you; a tax ID is required when the invoice charges tax.

You can upload an optional invoice logo here. Select Save business details. This saves your billing identity, without issuing or sending the invoice or changing its line items. Invoice settings also hold your defaults, numbering and reminder schedule.

See business details and invoice logos for branding and changes to existing documents.

Issue, then send

Recheck the complete draft. Issue invoice becomes available after required business details are saved and your plan allowance permits issuing. Online collection has additional payment requirements.

Issuing assigns the invoice number and fixes the document's client, seller, amounts and terms. It does not email the client. Use Send to client or copy the invoice link as a separate action. An email being queued does not guarantee delivery.

An issued invoice cannot be edited like a draft. If the document is wrong, review the void option and prepare a replacement. Voiding does not refund an already paid invoice.

Follow up and record payment

Use the invoice's status and due date to see what needs attention. Reminders depend on your reminder settings and sending availability. They are separate from issuing.

For payment received outside Trankets, Record a payment marks the full invoice as paid. It does not credit your wallet or create a refundable online transaction. Review the confirmation before proceeding.
