Groups, Imports, and Exports

A flat list of two thousand names is not an audience - it is a pile. Groups turn it into something you can actually use: "attended the last conference", "bought the template pack", "VIP clients". This guide covers creating groups, filling them from anywhere, and getting your data out whenever you want.

Step 1: Create a Group

Go to Contacts → Groups and click Create Group. Give it a name (like "VIP Newsletter") and a short description of what it is for.

Groups are what newsletters send to - when you write a campaign, you pick one or more groups as the audience. Sends deduplicate across groups and drop unsubscribed contacts automatically, so overlapping groups are safe.

Step 2: Fill It

Open a group and you will find three ways to add people:

Import from Event

Pulls every attendee of an event you choose into the group. Duplicate emails are skipped. This is the move to make the week after any event - the room you gathered becomes a list you keep.

Import from Product

Same idea for buyers: pick a product, and everyone who bought it joins the group.

Import CSV

Upload a CSV or Excel file exported from any tool. The importer is a two-step wizard:

  1. Upload - drop in the file. A template is available if you are starting from scratch.
  2. Match your columns - your headers are matched to Trankets fields automatically (Email is the only required one; First name, Last name, and Phone are optional). Anything that does not match can be kept as a custom question or ignored.

When it finishes you get an exact count: how many rows imported, how many were skipped as duplicates or invalid, and a downloadable list of the skipped rows with reasons - nothing disappears silently.

Importing from All Contacts works too - you will just be asked which group the contacts should go into first. Every contact lives in a group.

Add One by Hand

Add Contact takes an email plus optional name and phone. Use it for the person you met yesterday, not for lists.

Step 3: Keep It Organized

  • Move contacts between groups: select rows, pick a destination in the Move to... dropdown, and click Move. Contacts already in the destination are skipped and reported.
  • Search and filter inside any group by status (Active / Unsubscribed).
  • Remove a contact from a group without deleting them from your account.
Deleting a group deletes the group and the contacts inside it, including their notes. It cannot be undone. Export the group first if you want a copy. Anyone who unsubscribed stays unsubscribed regardless.

Exporting

Both All Contacts and any group have an Export button that downloads a CSV. Your list is yours - there is no lock-in, and no hoops.

The Flywheel, Practically

Here is what this looks like in use:

  1. Your event ends. Import from Event into a "Attended March meetup" group.
  2. Your product launches. The product is linked to a "Buyers" group, so buyers flow in on their own.
  3. Your next campaign goes to both groups. People who already showed up or paid are exactly the people most likely to do it again.

Every channel fills the list; the list fills every channel.
