"What times work for you?" - "How about Tuesday?" - "Tuesday's out, Thursday?" - and four messages later you still have not sent the payment details. This playbook ends the scheduling thread: clients pick a slot from your real availability, pay when they book, and get reminded so they actually show.
Who this is for: coaches, consultants, tutors, therapists, advisors, trainers - anyone paid by the session.
The Setup
1. Your page is the answer to "how do I book you?"
My Page → Page Design: professional photo, a bio that names who you help and with what, Services first in the section order. From now on, "how do I book you?" has a one-line answer: your /u/ link. (Make your page convert.)
2. Availability before anything else
Services → Availability: the weekly windows you take sessions in, and your timezone - clients see slots converted to theirs. One schedule feeds every booking option you sell, so double-booking is structurally impossible. (Bookings and availability.)
3. Create the sessions
In Services, one service ("1:1 Coaching") with booking options per format:
- Discovery call - free or cheap, short. Your funnel's front door.
- Full session - your real rate, with a buffer after so back-to-backs do not swallow your notes time.
- Package deals - a fixed-price bundle for committed clients, protected by escrow: payment held until delivery is accepted. (Escrow.)
Set How you meet on each option - the meeting details reach the client with their confirmed booking.
4. Intake questions do the first session's homework
Add intake questions to the service - "What are you working toward?", "What have you tried?". Answers arrive with the booking and are saved on the client's contact record, so session one starts at minute zero, not with a questionnaire.
5. Reminders end the no-show problem
Every client automatically gets a reminder before the session. Add extra reminders (a day before) on paid plans - for a calendar business, the no-shows prevented pay for the plan by themselves.
The Client Lifecycle
Bookings land in Services → Orders with instant confirmation to the client. After each engagement:
- Their contact record accumulates the history - sessions, spend, your private notes ("prefers evenings, working toward the launch").
- A "Clients" contact group (set on the service) collects everyone automatically.
Then the leverage moves:
- Productize the pattern. The worksheet you send every client is a digital product. Sell the self-serve version to the audience that cannot afford 1:1 yet.
- Fill quiet months with a workshop. One group event reaches twenty people at once - and Import from Event turns attendees into discovery-call prospects.
- Stay in inboxes. A monthly newsletter to past clients is where re-engagements come from.
When to Upgrade
The free plan is enough to prove the model. Paid tiers add more services, extra booking reminders, brand colors and a badge-free page, newsletter sending to your client list, and a smaller commission per session.
