How to check people in at your event using QR codes and the staff verification page.

This guide explains how to check attendees in at your event. Each attendee receives a unique QR code, and staff can use a dedicated verification page to scan or search.

How QR Code Check-In Works

Every attendee receives a unique check-in code and QR code in their confirmation email. When scanned or entered:

  1. Trankets validates the code against the event.
  2. The attendee's check-in count increases.
  3. The last check-in time is updated.
  4. Attendance status is set to attending.

Step 1: Get the Verification Access Code

  1. Open the event.
  2. Go to Settings (Dashboard → Events → [Your event] → Settings).
  3. Find the Verification Access Code.
  4. Copy the 32-character code.

Step 2: Share the Code with Staff

  1. Send staff the verification page URL.
  2. Staff open the URL on their phone or laptop.
  3. They can scan QR codes or search by name or email.

The verification page only allows check-in. Staff cannot see the full dashboard, attendee lists, or financial data.

Step 3: Check In Attendees

Scan a QR Code

  1. Open the staff verification page on a device with a camera.
  2. Point the camera at the attendee's QR code.
  3. The page confirms the attendee and marks them as checked in.

Search Manually

  1. Enter the attendee's name or email in the search field.
  2. Tap the attendee's name.
  3. Tap Check In.

Handling Walk-Ins

If someone arrives without registering:

  1. Go to Dashboard → Events → [Your event] → Attendees.
  2. Click Add Attendee.
  3. Enter their details.
  4. Click Check In immediately.

For paid events, you will need to collect payment separately if you want to charge them.

Multi-Day Events

The same QR code works across all event days. Each scan increases the attendee's check-in count. You can see the total scans and last check-in time in the Attendees tab.

Internet Requirement

Check-in requires an active internet connection. There is no offline mode. Make sure the venue has reliable internet before the event starts.

Backup Plans

If devices fail or internet is unavailable:

  1. Printed attendee list: Export the attendee list as CSV and print it. Check names off manually.
  2. Multiple staff devices: Share the verification code with at least two staff members so one device failure does not stop check-in.

Common Issues

  • QR code does not scan. Check lighting and camera focus. Search by email instead.
  • Attendee not found. Confirm they registered for the correct event. Search by email, which is unique.
  • Verification page not loading. The event access code may have been regenerated. Copy the current code from Settings.
  • No internet. Check-in cannot work offline. Use a printed backup list.
