This guide explains how to cancel an event and what happens to attendees, refunds, and affiliate commissions.

Who Can Cancel
Only the event host can cancel an event.
Cancellation Requirements
- The event must not already be cancelled.
- You cannot cancel within 48 hours of the event start time.
- You must provide a cancellation reason.
- The host must have enough Trankets balance to cover refunds for paid attendees. Cancellation fails if the host balance is insufficient.
Step 1: Cancel the Event
- Open the event.
- Click the three-dot menu in the top right.
- Select Cancel Event.
- Enter a cancellation reason.
- Confirm.
Cancellation cannot be undone.
What Happens Next
Event Page
- The public event page shows a cancellation notice.
- The event is removed from discovery.
- New registrations are closed.
Paid attendees with a Trankets account
- Refunded to their Trankets balance in the same currency they paid with.
- The host's Trankets balance is debited for the refund amount.
- If the host does not have enough balance, cancellation fails.
Paid attendees without a Trankets account
- Guest attendees receive an email with refund instructions.
- The host's Trankets balance is still debited for the refund amount.
Free Attendees
- Marked as cancelled in the dashboard.
- Receive a cancellation email.
Affiliates
- Affiliates are notified that the commission is reversed for refunded ticket sales.
Step 2: Communicate With Attendees
Trankets sends automatic cancellation emails, but you should also send a personal follow-up within 24 hours. Include:
- The reason for cancellation.
- Refund details for paid attendees.
- Any next steps, such as a future event or product.
Example Message
Subject: Update: [Event Name] Cancelled
[Event Name], originally scheduled for [Date], has been cancelled.
If you purchased a ticket, your refund has been processed to your Trankets balance in the same currency. Guest attendees will receive separate refund instructions by email.
Thank you for your understanding.
Cancellation Limitations
- You cannot cancel an event that is already cancelled.
- You cannot cancel within 48 hours of the start time.
- Cancellation is permanent. To run the event later, create a new event.
Common Issues
- Cancellation button disabled. You may be within 48 hours of the event start time, or you may not be the host.
- Cancellation fails. Check that your host Trankets balance has enough funds to cover paid attendee refunds.
- Attendees not refunded. Guest attendees receive refund instructions by email instead of an automatic balance refund.
