Managing Attendees
This guide covers how to manage people who register for your event. You can view attendee details, add people manually, import from a CSV, and export the list.
Where to Find This
| Page | Path |
|---|---|
| Event attendees page | Dashboard → Events → [Your event] → Attendees |
| Event categories page | Dashboard → Events → [Your event] → Categories |
Attendee Statuses
Each attendee has an attendance status and a payment status.
Attendance Statuses
| Status | Meaning |
|---|---|
| Pending | Registered but not yet confirmed as attending. |
| Attending | Confirmed or checked in. |
| Not attending | Marked as not attending. |
Payment Statuses
| Status | Meaning |
|---|---|
| Free | Free ticket or manual comp. |
| Pending | Payment initiated but not completed. |
| Paid | Payment completed. |
| Failed | Payment failed. |
Step 1: Open the Attendees Tab
- Go to Dashboard → Events.
- Click the event.
- Click the Attendees tab, or go to Dashboard → Events → [Your event] → Attendees.
Step 2: View and Filter Attendees
The attendees page shows:
- Total registrations.
- Attendance and payment status.
- Ticket type and currency.
- Check-in count and last check-in time.
Use filters to find specific groups:
| Filter | Use Case |
|---|---|
| Ticket Type | Filter by ticket name. |
| Category | Filter by attendee category. |
| Attendance Status | Find Pending, Attending, or Not attending. |
| Payment Status | Separate Free, Pending, Paid, or Failed. |
| Currency | See which currency was used. |
| Search | Find by name or email. |
Step 3: Add an Attendee Manually
- Click Add Attendee.
- Enter first name, last name, and email (required).
- Optionally add phone, ticket type, and category.
- Click Save.
Manual additions do not trigger payment. For paid events, a manually added attendee is recorded as free unless you arrange payment separately.
Step 4: Import Attendees from CSV
- Click Import.
- Upload a CSV file with the required headers.
Required Headers
| Column | Required | Notes |
|---|---|---|
| First Name | Yes | Can also be FirstName or first_name. |
| Last Name | Yes | Can also be LastName or last_name. |
| Yes | Used to prevent duplicates. | |
| Phone | No | Optional contact number. |
| Ticket Type | No | Must match an existing ticket name. |
| Category | No | Creates the category if it does not exist. |
Duplicate emails within the same event are skipped. Existing attendees are not imported again.
Step 5: Edit or Delete Attendees
- Click the three-dot menu next to an attendee.
- Select Edit to update their details.
- Select Delete to remove them from the event.
Step 6: Export Attendees
- Click Export CSV.
- The download includes name, email, phone, ticket type, payment status, currency, check-in count, last check-in time, and registration date.
Attendee Categories
Categories are internal labels for organizing attendees. They do not change the attendee experience.
- Go to Dashboard → Events → [Your event] → Categories.
- Click Add Category.
- Enter a name and color.
- Assign attendees to categories from the Attendees tab.
What Happens After Registration
- Confirmation emails are sent automatically if Send Confirmation Email Automatically is enabled.
- Each attendee receives a unique check-in code and QR code.
- Event attendees are not automatically added to your contacts or newsletter list. Only products with a linked contact group and waitlists auto-add contacts.
Common Issues
- Import fails. Check that your CSV has the exact required headers: First Name, Last Name, and Email.
- Duplicate emails skipped. If an email already exists for the event, that row is not imported.
- Payment status stuck on Pending. Wait a few minutes for the payment provider notification. If it persists, check your payment provider dashboard.
- Cannot find attendee. Use the search box and enter at least a few characters of the name or email.
